Version 8.3.11r8 released 03/30/16

  • Re-Eval Due Dates
    • Fixed error in Logon Display Re-Evals Due routine. Was not working (sorting) properly when the student had been imported with more than a single IEP. This error has been fixed.
    • Fixed error in the Re-Evals Due report. Was not always displaying the correct primary provider. Sometimes, would display the primary provider for next year. This error has been fixed.
    • Modified the Re-Evals Due report so that it will display why the number of days until Re-Eval due cannot be calculated.
    • Rearranged the columns of the Re-Evals Due report so that the Calculated Re-Eval Due Date is to the far right just before Status. This (plus the new column color option in the Preferences) should make this report more readable.
  • Preferences
    • Added new parameter to the Preferences Agency page: Added color specification for the Calculated Re-Eval Due Date column of the List of Re-Evals Due. By specifying this color, the Due Date column will stand out and be easier to read.
    • Modified the wording on Preferences page: Email Setup – Notice of IEPs Due. Added “Note that IEP Due Emails are based on the most recent Completed IEPs. Creating a Draft IEP will not stop the email notices. Users will continue to receive the emails until a new Draft IEP has been completed.”
  • Miscellaneous
    • Modified the Duplicate IEP button so that all service lines are copied exactly as they were in the IEP being duplicated. All goals/benchmarks/progress reports are copied exactly except for discontinued goals. Everything else is copied exactly except for the new initiation date and ed status.
    • Added “Calendars” button to the top of the Dates page.

  • Medicaid
    • Modified the Medicaid Eligibility Check export. Will no longer include students with no Date of Birth.
    • Modified the Medicaid Eligibility Check export. Will now use the values for KIDS ID, Name(F,L,MI,Gen Code) and DOB from the student header record rather than what is stored in the student’s medicaid annual record.
    • Added new Medicaid billing function: Submit by Date Range.
  • Re-Eval Due Dates
    • Rewrote the calculation of the Re-Eval Due dates.
    • Added routine that runs at startup and once a day just after midnight to recalc all Re-Eval Due dates.
  • Form Variables Related to Service Lines
    • Fixed error in the processing of service lines when a student is exited. If some service lines were deleted because they were services that started after the exit date, then, if there were form variables attached to the service lines, those form variables were not being deleted when the future services were deleted. This error has been fixed.
    • Fixed error in the processing of service lines when an amendment IEP is created. Sometimes, if the service lines had related for variables, those variables were not being cleared when a service line was deleted.

  • Medicaid
    • Fixed error in Medicaid Billing export. Was sorting Service Log records by student header name but was breaking on student header recID. If a student had different names in the IEP records, this was causing an error in the billing file. Now, the sorting and breaking on Service Log records will be on the student header recID field. Also, then student name fields (last, first midinit) and birthdate will be taken from the student header record.
    • Fixed error in Medicaid Billing export. Initial dialog listed all students with Service Log records before check for errors. This has been fixed. Now, only students with no errors will be listed (or counted for export by Prov and export by LEA).
    • Modified the Medicaid Billing export to batch Service Log records in bunches of 50 for the same student.
    • Added checks to student data before using student in the Medicaid Billing export.
    • Fixed error in Medicaid Eligibility Check import. The importing of the XXI and XIX fields was not correct for students who did not have an EB segment in the imported 271 file. This error has been fixed.
    • Fixed error in Medicaid Eligibility Check import. If an imported student did not have an “EB” segment, it was searching through the file until it found one – from a different student. This error has been fixed.
    • Fixed error in Medicaid Eligibility Check import. Was reporting in the change log that the medicaid number was updated when in fact the medicaid number imported was blank. With this fix, the change log will only report when the imported medicaid number (non-blank) is different from the existing medicaid number.
    • Fixed error in Medicaid Eligibility Check import. Was not processing files for months of July-December. This error has been fixed.
    • Made the Medicaid reports: List Students with Eligible Services but no Annual Record, List Students with Overlap of Services, Print Service Log Errors, and Print Unbillable Services available as group permissions for Admin and Data Clerk groups.
    • Fixed error in Medicaid function: List Students with Overlap of Services.
    • Fixed error in Medicaid function: List Students with Eligible Services but no Annual Record.
    • Added new Medicaid report: Print Service Log Errors.
    • Added new Medicaid report: Print Unbillable Services.
    • Added Medicaid Service Log field: Med-Log Delivery Date Override to the list of available variables.
    • Indexed more fields in the Medicaid Service Log record to speed up Finds: Med-Log FY, Med-Log Rejected Date, Med-Log Procedure Code, Med-Log Progress Code, Med-Log Status Code, Med-Log Location, Med-Log Provider Initials, Med-Log Provider Name, Med-Log Service Code, and Med-Log Delivery Date Override.
  • Entry Screen Orders and Print Orders List Pages
    • Modified the column: “Used by Groups” on the Entry Screen Orders list page. Previously, only one screen order was checked for use for IEP entry orders. For groups that had a crossover date, the “after” screen order was not being checked for use. This has been corrected so that both the “before” and “after” IEP screen orders will be listed by their Group usage.
    • Modified the column: “Used by Groups” on the Entry Screen Orders list page. Previously, only IEP entry orders had their group usage shown. This has been expanded so that all data types (IEP, 504, ELL, and SIT) will have the group usage shown for the entry orders.
    • Modified the column: “Used by Groups” on the Print Orders list page. Previously, only one print order was checked for use for IEP print orders.   • Bug Fixes
    • Fixed error in saving the Extended School Term preferences text page.
    • Fixed error in variable save from the variable detail page. If an IEP variable was marked as Repeating Field and Max number of reps = 98, then sometimes the Repeating Field Linked to Service Lines radio button would get switched from Yes to No. This error has been fixed.
    • Fixed error in Re-Eval Due Date calculation on Dates page. Changed a comparison from < to <=. ReEval Completed <= ReEval Consent Recd.

  • Medicaid
    • Added new Medicaid functions: Create (export) Medicaid billing by LEA, by Provider, and by Student.
    • Added new Medicaid function: Create (export) Eligibility Check file.
    • Added new Medicaid function: Receive (import) Eligibility Check file.
    • Added more checking of Medicaid Preferences fields when doing the Eligibility Check export.
    • Added checking of the Medicaid LEA information (LEA #, Name, NPI) on the Preferences: Customize WebKIDSS – Medicaid page (Rendering Provider Information section) for Medicaid billing for all LEAs included in the service log records being submitted for billing.
    • Modified the Preferences page: Customize WebKIDSS Medicaid. Added Agency Type: Single LEA or Coop/Interlocal. When Single LEA is specified, the Rendering Provider Information does not appear on the page. When Coop/Interlocal is specified, the Rendering Provider Information will need to be provided for LEAs in the Coop/Interlocal.
  • Re-Eval Due Report
    • Fixed error in calculation of Re-Eval Due Date. Previously, when the Due date was based on the 3 yr Re-Eval Due date and then a Re-Eval Consent Rec’d date was entered that would calculate a due date after the 3 yr reeval date, it was using that new date based 60 days after the consent rec’d date instead of keeping the due date as the 3 yr reeval due date. This error has been fixed.
    • Fixed error in calculation of Re-Eval Due date. If the student’s birthdate was modified on the Demographics page and the student was DD and the student was approaching 10 yrs old, the Re-Eval Due date calculated for the old birthdate was being retained and not recalculated for the new birthdate. This error has been fixed.
    • Fixed error in selecting students for the Logon List of ReEvals Due. Previously, if a student had an old Re-Eval Completion Date and a corresponding old ReEval Consent Rec’d Date, then that student would not be included in the list of ReEvals Due regardless of a newly calculated ReEval Due Date. This error has been fixed.
  • Finds
    • Fixed error in Find Students with using Point in Time. Was not using the date(s) entered on the Point in Time dialog.
  • Duplicate IEP Button
    • Fixed error on Duplicate IEP page (reached from the Add New/Amendment IEP button). The Cancel button was not working. This error has been fixed.
    • Fixed error on Duplicate IEP page (reached from the Add New/Amendment IEP button). If the previous IEP record (the one being duplicated) was an Exited IEP, the new duplicate was retaining the Exit Date. This has been fixed. The duplicate IEP will now have the Exit Date cleared if the new status is Active.
  • Imported IEP Records
    • Modified the One-Click Reports to not include Imported IEPs.
    • Modified the No-Click Reports to not include Imported IEPs.
    • Modified the Print Quick List of IEP Students function to not include Imported IEPs.
    • Modified the Print an IEP Student List Form function to not include Imported IEPs.
    • Modified main menu print functions: Alpha List, Alpha List with Providers, Alpha List with Aux Users, Alpha List with Reg Ed Users, Alpha List for Pri Prov, Alpha List for Pri Attend Bldg, and Alpha List for School Year. These lists will no longer include imported IEPs.
  • Indexing Fields

    • Added a “Display All Quick Views” button to the Student Find Parameter Sets list page. This will allow one to easily see the detail of all the Find Sets for the currently displayed page.

  • Medicaid
    • Modified the check on student delete to also check for Medicaid Annual records. Previously, the check was only for Medicaid Service Log records. Now, both record types will be checked. If any of either of these records are present for a student, the student cannot be deleted.
    • Added a new Group Permission for Admin and Data Clerk groups in the Medicaid section: Can Submit/Process Medicaid Eligibility export/import.
  • SPEDPro
    • Fixed error in SPEDPro student download. The SPEDPro download date was not being saved in the Student IEP record. This error was introduced when the SPEDPro download was rewritten to conform with the new Data Dictionary in v8.3.11r3. This error has been fixed.
  • Goals / Progress Reports
    • Fixed error on Goals page. If an IEP was locked, the Admin Text field (“Responsible Position”) was not enterable and was being cleared to blank whenever the Goals page was accessed. This error has been fixed. Now, for locked IEPs, the Responsible Position will be enterable and will be saved (and NOT blanked out).
    • Modified the Entry pages for Goal Progress comments and Obj/Benchmark Progress comments reached from the Goals page, Popup Goals window, or from the main menu. Can now again enter the Admin Text field (“Responsible Position”). This field is enterable even for locked IEPs. This field was previously removed in version 8.3.10-10/25/15.
  • Bug fixes
    • Fixed error in Archive Student button and Archive Multiple IEP Students main menu function. Was looping on the Unfiled forms. This error has been fixed.
    • Fixed error in Find Students with using Point in Time. Previously, was not always finding the correct type of student (in one case when looking for IEP students, it was always finding one no-IEP student). This error has been fixed.
  • Miscellaneous
    • Corrected some wording on the page displaying the WebKIDSS FTP Site with the list of files. Changed the section “Notification to Receiving Agency:”. The old statements in this section indicated that the sending agency should manually send an email. This was outdated. The message in this section is now: “The WebKIDSS FTP upload functions will automatically generate an email notice to the receiving agency that a file has been uploaded for them.”
    • Corrected the wording in the Find More Students popup window which is displayed for Providers entering student data (Find More Students button). Previously, the instructions in that popup window said “… pull down the Select Students menu…”. This has been corrected to “… pull down the Which IEP Records menu …”.
    • Added warning to the upload Image Files and the list of Image Files. The file name uploaded and the Image File Name must not contain an apostrophe. Also, file names should not exceed 32 characters.

Version 8.3.11r3 released 12/11/15

  • SPEDPro
    • Modified the SPEDPro Student export to match the new 2016 Data Dictionary (revised 10/30/15). Previously, multiple records were written for a student, one for each IEP. This modification changes the record format. Now, with this change, there will be only a single record per student and that record will contain all service lines for the current school year. Each repeating portion of the output for a student will contain the data for a single service line and the IEP date of the IEP record it is attached to. See the KSDE document MIS-Schedule-Specifications.pdf (pp iii-iv revised 10/30/15) for exact details.
  • Groups
    • Added a new Group Permission for Admin and Data Clerk groups in the Medicaid section: Can View Medicaid Annual Records. This permission will allow the display of a list of all annual records and their change logs.
    • Added three new Group Permissions for Admin and Data Clerk groups in the Medicaid section: Can Edit Medicaid Image Files, Can Download Medicaid Image Files, and Can Delete Medicaid Image Files. This was done so that Medicaid permissions for Image Files are separate from the general permissions for Image Files.
  • Re-Evals
    • Modified the Display ReEvals Due report at logon and from the main menu. If a student appears in this report but the ReEval Due Date is blank, the calculated due date from the report is saved into the student IEP record. This missing ReEval Due Date was causing some emails to have a due date of 00/00/00 because their dates entry page had not been accessed since the student should be on the ReEval Due Date list (60 days). Now, if the Display ReEvals Due report is specified Super Admin or for Providers, the due dates will automatically be updated in the IEP record and emails will have the correct due date rather than blank.
  • Medicaid
    • Fixed error in Medicaid Service Log entry. If a new service log record was created/filled out/saved and then the function popup menu was used to go back to “Enter IEP Data”, the IEP entry screens would have a “New Record Creation” message across the top of all screens. This error has been fixed. The New Record Creation message will no longer appear when switching from Medicaid entry back to IEP data entry.
    • Fixed error in Medicaid Service Log entry. Previously for provider entry, when looking at the service lines for an IEP record, it was finding all service lines with billable services. This would include services for providers other than the current provider doing the data entry. This error has been fixed. Now, only service lines for the current provider will be searched.
  • Miscellaneous
    • Modified the Create Building Lists function for Responsible buildings. Now, with this change, building 9915, even though it is a private building (X0), can be used as a responsible building.
    • Modified the Display Image function so the name of the image appears in the window header. Previously, a random number was appearing in the header.
  • Bug fixes
    • Fixed error in the Find Point in Time function. Previously, would find service lines with blank Start Dates. This could lead to students being included that probably should not be. With this fix, only service lines with non-blank Start Dates will be selected by the Point in Time function.
    • Fixed error in the Create a New Student. In the Create New Student by Name, if the birthdate was blank, it would only find existing students with the same first/last name and a blank birthdate. With this fix, if the birthdate is blank, it will find students with the same first/last name and ignore the birthdate field.
    • Fixed error in Download Student Bundle. Previously, if more than a single print order was specified and one of the print orders had a forms list that contained boolean calc variables, it would not download the boolean calc variables for any other print orders after the print order containing the forms list. This error has been fixed.
    • Fixed error in Email ReEvals Due Log. Was using the 3yr Re-Eval Due Date instead of the calculated Re-Eval Due Date in the log entry for a student.

  • Bug fixes
    • Fixed error in saving filed documents from an FTP retrieve. Previously, was sometimes giving a 4D error message when processing a retrieved student with filed documents. This error has been fixed.
    • Fixed error in the Print Quick List of students so that the correct IEP records print when point in time is used in a find. Previously, the Quick List would always display data from the most recent IEP record. This error is now fixed.
    • Fixed error in the Print Student List Form so that the correct IEP records print when point in time is used in a find. Previously, the Student List Form would always display data from the most recent IEP record. This error is now fixed.
    • Fixed error in calculating ReEval Due on the Dates page.

    • Fixed error in Archive Student. Was not using the correct IEP print list when the Crossover Date and the Before and After print lists were specified. Was always using the Before print list. This error has been fixed.
    • Fixed error in Archive Student. If agency used more than just the IEP data type (e.g., also used 504, ELL, or SIT), only the IEP data type would get the IEP and TIP filed for the most recent IEP. The other data types would not get their documents or TIP filed. This error has been fixed.

  • Medicaid
    • Fixed error in Medicaid for selection of students for School Psychs when creating new Medicaid annual records.
    • Added the calculation of units and dollar amounts to the Medicaid Service Log records.
    • Added routine that runs at installation of this version to calculate the units and dollar amounts to existing Medicaid Service Log records.
  • Auto Emails
    • Fixed error in Email of ReEvals Due and Email of IEPs Due for School Psychs that specified attendance buildings for student access.
    • Fixed error in Email of New or Amendment IEP Creation for School Psychs.
  • Goals
    • Modified the copying of goals when a new IEP is created. If the previous IEP was an amendment, then it could have more than the max goals (set in Preferences: Customize WebKIDSS – part 2). When that is the case, only non-discontinued goals will be copied.
    • Modified the Renum goals function for Amendment IEPs. The Renum button will appear when positioned to a new goal. Only new goals, not those copied for the amendment, can be renumbered. If positioned to an existing goal for an Amendment IEP, the Renum button will not appear.
    • Removed the Responsible Position (Admin Text Field) from the Progress Report entry screens.
    • Modified the maximum number of goals on an Amendment IEP. New maximum is max goals (set in Preferences: Customize WebKIDSS – part 2) plus the number of discontinued goals. This new maximum must be less than or equal to 30 goals.
    • Modified the New button on goals page for Amendment IEPs. The New button will be displayed when the number of goals is less than the max goals (set in Preferences: Customize WebKIDSS – part 2) plus the number of discontinued goals.
    • Fixed error in copying goals for an Amendment IEP when the new Amendment is not the first amendment of the IEP. Was not resetting the internal flag in the goal about new goal for amendment. When an Amendment IEP has goals added and then a new amendment is created, the previous new goals are now part of the set of goals that can not be modified.
  • Variables
    • Modified the display form variables in a form for numeric calculation, date calculation, and string calculation variables. Now, when a form is displayed, if a numeric, date, or string calculation varible has never been calculated, it will get calculated before the form is displayed.
    • Fixed error in Find on the Variables page. Was not finding vars with Default Value correctly. Also, the column Has Default Value was not always showing the correct value. These errors have been fixed.
  • Print Button
    • Added Print button to the top of reports next to the KIDSS button. Also added Print button to some other display pages next to the Close button.
  • Filed Documents
    • Fixed error in Change Draft IEPs to Completed for Multiple Students. Previously was not putting the correct status data or the link to the IEP record into documents that were filed as the result of the Completion process.
    • Added routine that runs at installation of this version to link Filed Document records to student detail records for those that are not already linked.
  • Logon Page
    • Made modifications to the Logon page. It now is compatible with Chrome browsers on ISO and Android devices.
  • New IEP
    • Modified the Add New/Amendment IEP Record button. For Super Admin users, there is now another option on the Add New page: Duplicate IEP. Selecting this Duplicate IEP button will create a new IEP with a new Ed Status and a new Initiation Date. All other fields will remain the same except for these fields which will be initialized to false or blank: Is Archived, Is Draft (set to true), Is Amendment, Amendment Date, Is Locked, Locked Date, Date SpedPro Download. Service lines, Goals, Benchmarks, Goal Prog Rpt Comments, and Benchmark Prog Rpt Comments will be copied.
    • Fixed error in the creation of a new IEP or new Amendment IEP. Previously, if there were form variables related to service lines, all the form variables would be copied, not just the ones for the service lines in the new IEP. This could lead to more form variable repeats than there were service lines. This error has been fixed.
  • SPEDPro
    • Modified Group Permissions for Admin and Data Clerk. The main menu option for “Can download SPEDPro student file:” has been changed to “Can download SPEDPro student and provider files:”. This will allow both Admin and Data Clerk users to have the option to download the SPEDPro provider file.
  • Student Data Verifications
    • Removed student data verification “Status K or Q must have U setting/U setting without Status K or Q”.
  • Print Orders
    • Fixed error for Super Admin selection of Print Orders. Was not using the selected print orders on the main menu page when the Print an IEP function was selected or when the IEP or IEP#2 buttons were clicked on a data entry page. These functions previously were always using the print orders saved with the Super Admin group permissions. This error has been fixed.

Version 8.3.9 released 10/10/15

  • Medicaid
    • Fixed error in Medicaid forms. Was not processing the commands (New, Delete, DelAll, Sort) for forms with blocks.
    • Modified Group Permissions for Admin and Data Clerk groups. Removed the checkbox for Can Access Medicaid Data. Added new section: “Specify Medicaid permissions” just below the SIT permissions.
    • Modified the main menu pages for Admin and Data Clerk. Reworked the Medicaid section to use the new Group Permissions.
    • Fixed error on Medicaid Image Upload page. If the upload failed, and the upload page was presented again, the student name and the FY popup were not there. This error has been fixed.
    • Modified the Medicaid Image list page. Added FY to the list of sort options.
  • Preferences
    • Added new field to the Agency Preferences page: Special Ed Director.
    • Modified Preferences page: Customize WebKIDSS – part 2. Added new permission: “Allow Display of List of Missing Calendars report”. This new permission, in conjunction with the group permissions for display of this report will control whether or not users see the List of Missing Calendars report at logon.
    • Modified the creation of Preferences records when a new database is created. Added the creation of Preferences record #3 and added the setting of Initial Evaluation School Days Allowed to 60.
  • Groups
    • Added new Group permission: Can Print No-Click Report. If the Preferences permission for Allow No-Click Reports is checked, then this Group permission, if checked will add a Display No-Click Reports menu item to the main menu. Previously, the menu item was added if the Display No-Click Reports on Login was checked. This new Group permission separates the No-Click menu item inclusion from the No-Click login display.
    • Modified the specification of Student Data Access for Data Clerk, Admin, and Browser groups. Can now specify access by Grade.
    • Fixed error in Group Permissions usage on the Dates page. Was using the “Can Modify Initial Eval Consent Rec’d/Initial Eval Determination” permission to control the entry/editing of the “Re-Eval Consent Rec’d Date” field instead of the “Can Modify Re-Eval Date/Consent Rec’d Date, Re-Eval Completed/Waived check boxes” permission. This error has been fixed.
  • Kan-Service / SPEDPro
    • Removed the Download Kan-Service File button from the Demographics, Custom Demographics, Anticipated Service Chart, and Custom Anticipated Services pages.
    • Removed the Download Kan-Service functions from the main menu.
    • Added “Download SPEDPro File” button to the Anticipated Services page.

  • Filed Documents
    • Fixed error in File Documents. Was not creating the hard link to the student detail record that the newly filed document belonged to.

  • Custom Demographics
    • Fixed error in Custom Demographics page. If the option to display the Consent to Send fields was turned on in a Custom Demo page or the default Demo page was being used to enter these values, and a Custom Demo page was created that had the display of the Consent to Send field turned off, then the values of these variables could be lost if the data was accessed from this Custom Demo page that did not display those variables. This error has been fixed.
  • ReEvals Due List
    • Fixed errors in the ReEval Due list and the Dates page. Was sometimes reporting a due date reason for a DD student as reached 10th birthdate when they had not reached their 10th birthdate but the ReEval Due was for some other reason.
    • Fixed error in display of ReEval Due date on the Dates page. In the case of a DD student turning 10, and the Due Date (calculated from the birthdate) was before an entered ReEval Completed date, it was still giving the message that the ReEval was overdue. This error has been fixed.
    • Fixed error in display of ReEval Due report from the main menu. Was no longer displaying a reason for the ReEval when it was because a DD student was approaching his/her 10th birthdate. Was just reporting that the ReEval was either Due in xxx days or the ReEval was Overdue. This error has been fixed.

  • Print Order Lists
    • Fixed error in the Attached Forms for a Print list. Was not processing the IFs properly. Noticably, when nested IFs were used with the Attached Forms, what got printed did not use the logic of the nested IFs. This error has been fixed.
  • Filing IEP
    • Fixed error in File an IEP. Was not including the Attached Forms in the filed IEP. With this fix, the Attached Forms will be part of the filed IEP. This also means that IEPs filed during the FTP Send Data Exchange File and the Download Data Exchange File will also have the Attached Forms as part of the IEP being sent. To ensure the most recent IEP has been created with its Attached Forms, you will need to select the “File unfiled IEP for most recent IEP before sending” option on the FTP Send Options page.
  • ReEvals Due
    • Fixed error on Dates page. Was displaying the “Re-Eval overdue” for students who’s Re-Eval Due date was more than 60 days in the future. This error has been fixed.

  • ReEvals Due Report
    • Modified the ReEvals Due list. Changed the way the selection of students was done to significantly speed up the report.
    • Fixed error in ReEvals Due list and Dates page. If the student was DD and had an upcoming 10th birthday, but the calculated ReEval date was before the student’s 10th birthday, it was listing the correct due date but was sometimes calculating the days until due based on the 10th birthday. Also, if the calculated due date was more than 60 days overdue, and the student was DD and had a 10th birthday in the future, was sometimes indicating the DD and the 10th birthdate even though the reason for ReEval was not related to the DD and 10th birthdate. These errors have been fixed.
    • Fixed error in email of ReEvals Due. When this error occurred, a 4D error message would show only on the server. When this error occurred, the emailing of that day’s ReEvals would get aborted. Also, when this error occurred, at least one student IEP, student header, and possibly service lines records would be locked and therefore unmodifiable. This error has been fixed.
  • Groups
    • Modified an option on the Para Group permissions page. Previously, the “Restrict Access to Only Current IEP Students” option selected only students with an IEP date more recent than the start of the current school year. With this change, this option now selects only students with service lines in the current school year.
    • Added new Group permission: Can download image file. This new permission is available to all groups except Browser and Compliance.
  • Image Files
    • Added new button to the Image Files display: Download. Some browsers can not display image files that exceed a certain size (typically 4MB). Since WebKIDSS now allows image files up to 30 MB in size, these large image files need to be downloaded to the desktop in order to be displayed with something other than the user’s browser.
  • Goals
    • Modified the Goal page. If option#5 (Preferences page: Progress Report / IEP Print Options) is selected, and the State Assessment Option for the student is General, then benchmark entry will not display on the Goals page unless one or both of the Overrides (Display Benchmarks on Progress Report or Display Benchmarks on IEP) is also selected.
    • Fixed error in printing goals on the IEP. If option#5 (Preferences page: Progress Report / IEP Print Options) was selected, the Goals section on an IEP was always printing goals and benchmarks regardless of the value of the State Assessment Option. This error has been fixed.
  • Medicaid
    • Modified the creation of a Medicaid Log record. Previously was using the student IEP record’s Assign Child Count for the Billing LEA. With this change, the Billing LEA will be set to the student IEP record’s Responsible LEA.

    • Made changes to the internal CSS used for printing Teacher Info Pages and other documents. Changed the two largest font size descriptors to align more with the printing in pre-8.3 versions of WebKIDSS.

    • Modified the Preferences page: Email Notice of ReEvals Due Setup. Added new Frequency option: “Automatically send notice every day after the ReEval is due until the ReEval is done”.
  • Users
    • Modified the “Upload (import) Users with Educator ID” function. Expanded the list of fields, changed the matching of existing user records to not use SSN or user’s Middle Initial when matching, added specification of group, and added create a new record if no matches.
  • Forms
    • Modified the Student form and IEP Entry/Print form to have Date Triggers. These date triggers will work in a similar fashion to the existing Age Triggers and Grade Triggers when determining when to display a form for entry or print.
    • Modified the way the lower Grade Trigger works. Changed the wording on the form entry pages for Grade Triggers. Previously, when the lower Grade Trigger was specified, the form would only display if the student’s grade was equal to the lower Grade Trigger. Now, with this change, the form will not display if the student’s Grade is less than the lower Grade Trigger. In addition, the form will not display if the student’s Grade is greater than the upper Grade Trigger. If both lower and upper Grade Triggers are specified, then the form will display only when the student’s grade is greater than or equal to the lower grade trigger and the student’s grade is less than or equal to the upper grade trigger.
    • Modified the form detail pages for Student List Form, Student List Form – Type 2, Business List Form, and Business List Form – Type 2. Changed the Sort specification. The list of potential sort fields now consists only of those variables that appear in the body of the list form. Also modified the “You must specify some sort fields” warning to only display when there is actual content in the list body.
    • Fixed error in the printing of forms with blocks that contained repeating field variables of type radio button or check box. Previously, when printed, all radio buttons or check boxes would not have a value except the bottom one in the block. This error has been fixed.
    • Fixed error in the printing of a Student or Business List – Type 2 that contained repeating field variables of type radio button or check box. Previously, when printed, all radio buttons or check boxes would not have a value except the bottom one in the list. This error has been fixed.
    • Fixed error in forms with blocks that contained service line fields plus repeating variables that were linked to service lines. If there was a second (or third…) block which contained different repeating field variables, an error was given: “Cannot mix enterable and non-enterable repeating fields in a block”. This error has been fixed.
    • Fixed error in the checking of forms during form creation. Was not detecting invalid variables any more. Sometime in the past year or so, a change was made that caused the check for invalid variables to not be performed. This check has been put back in.
  • Variables
    • Added automatic create of a new variable: ** Checkbox Graphic **. This is a global graphic variable that is the image of a checkbox. Size is 16×16 pixels. Including it in a form is just like including any other graphic. This graphic will not function as a checkbox. It is for display only.
    • Added new field to Student IEP record: “Initial Evaluation – Days it Took”. This will be the calendar days between the Initial Eval Consent Rec’d date and the Initial Eval Determination date. It will be displayed on the Dates page to the right of the Initial Eval Determination Date field.
    • Added “Service Line Total Days” as a new variable. This variable will be recalculated when any of these fields are changed: Start Date, End Date, Frequency, Days/Week, Setting, Attendance Building, or Attendance Building Calendar. Added routine that runs during installation to calculate total days for all service lines in school years 2014 and up. Note that this new field will not appear on the Anticipated Services Chart.
    • Modified the “Service Frequency Text” field. It was previously being filled with some text strings that were too long so the descriptions were being truncated. This has been fixed so that all Frequencies (text) are 16 characters or less in length. Added routine that runs during installation to redo the Freq Text field for all service lines in school years 2014 and up.
  • Main Menu
    • Added new function under the Edit Groups section of the main menu: Assign Dual IEP Entry and Print Lists with Crossover Date.
    • Fixed error in the switching of groups from the main menu. If the target group was Super Admin, the crossover date and entry and print lists from the old group that was switched from were put in for Super Admin. This error has been fixed.
  • Student Data Entry
    • Fixed error on Lookup Provider from the Anticipated Services Chart. Was sometimes not allowing the Pri Provider checkbox to be changed.
    • Fixed error on Lookup Attendance Building from the Anticipated Services Chart. Was sometimes not allowing the Pri Attend Bldg checkbox to be changed.
    • Fixed error on Dates and Custom IEP Dates pages. The button “Change Draft/Completed Status” was appearing for No-IEP students.
    • Modified the “Change Locked Status” and “Change Draft/Completed Status” buttons so that they will trigger either the Email on Lock or Email on Unlock.
    • Modified the Dates and Custom IEP Dates pages. Changed the display of the Init Eval Due Date. Previously, when the Init Eval Determination Date was entered, the Init Eval Due Date would stop displaying. With this change, the Init Eval Due Date will keep displaying until the IEP record has been marked Completed and Locked (i.e., IEP Date and Initiation Date plus Status entered and the resulting Draft record has been marked Completed and Locked).
    • Added Date Checker to the MIS Verifications. This new Data Checker will give an MIS verification if the Start Date or End Date on a service line falls on a day when school is not in session according to the calendar. Note that service lines with K or S setting codes will not be checked.
    • Modified the Dates and Custom IEP Dates pages. Added the display of the Re-Eval Due Date when the Re-Eval Consent Rec’d Date has been entered. This Re-Eval Due Date is calculated as 60 school days after the Re-Eval Consent Rec’d Date.
  • Printing
    • Modified the printing of Goals on an IEP. The goal text will now appear in bold.
    • Modified the display for printing of variables of type Date and Drop Down List. If the display visible border is not selected, then a Date or a Drop Down List will display its value just like a text or string variable and not cause a break in the printed line.
  • Indicator 11
    • Modified the Indicator 11 export options page. Changed the defaults on the Indicator 11 download page. Default option for Non-Eligible is “Include students with Not Placed Date in current school year”. No default options selected for Eligible students.
    • Modified the Indicator 11 export. For Eligible students, changed the required statuses from “N or B” to be “N, B, or I”.
    • Fixed error in the Indicator 11 export. For both Eligible and non-Eligible, fixed error where even if the student was not to be exported, the program was still checking to make sure that there was a valid Responsible District. This caused multiple students (usually old student records, sometimes archived, that were neither Eligible nor non-Eligible) to be included in the “Students not exported because of errors” list. This error has been fixed.
  • Email
    • Modified the email that can be generated when a file is put on the FTP site. Added the Confidentiality Notice to the bottom of the body. This applies to the emails for student Data Exc Format files, student Bundles, and business Bundles.
    • Fixed error in manual send of Init Eval Due emails. Was sending email if the Eval Due Date had passed but was not checking to see if the Init Eval Determination Date had been entered.
  • Create New Student
    • Fixed error in Create New Student by Name and Birthdate. Previously, was not using the Birthdate in the new student. This error has been fixed.
  • Filing
    • Fixed error in the Mass Filing of Forms. The mass filing would sometimes stop after filing the first unfiled form. This error has been fixed.
    • Fixed error in the Auto Filing of IEP forms. Was sometimes (rarely) giving the 4D error message “Array range check error” in the routine Web_AutoFile_IEP_Forms, line#25.
  • Miscellaneous
    • Changed the wording on the Promote Grades page to reflect the new default values for P4->KG and P5->KG.
    • Fixed error in FTP Bundle send and Download Bundle. Was not including the “Related to Servicelines” checkbox for variables in the export.

  • Image Files
    • Fixed error on the Image Files Upload page. The Comment box sometimes contained data from a previous upload. This error has been fixed. Now, the Comment box will always be blank when uploading a new image file.

    • Fixed error on Goals page when all benchmarks were displayed for each goal. Was not allowing the Progress Report button to be displayed for Draft students when that option was specified in the Preferences. This error has been fixed.

  • Return (Enter) Key
    • Disabled the Return (Enter) key for all pages. The only exceptions are: 1) when typing in a text box – the Return key will position the cursor to the next line; and 2) on the main menu page for a Super Admin user – to facilitate the entry of a “crossover” date if the group option has been set to use different entry orders. The Return key was disabled since it did not do what the user wanted or expected, particularily on pages with multiple buttons, e.g., on the Locate a Student screen, the Return key would return the user to their main menu page.

If their IEP Date is on or after the Crossover Date, they will get the “After Crossover” Entry Order. Likewise for the Primary Print Order and the Secondary Print Order. Note: this new feature does not need to be specified or used. If nothing is done in the Group permissions, then the existing Entry, Pri Print, and Sec Print will be used for all students regardless of their IEP date.

    • Modified Numeric Calculation variables. Previously, they would only be re-calculated when a form they appeared in was saved. This has been changed. Now, a numeric calculation variable will be re-calculated when a form or page is saved that contains any of the variables included in the formula, or when a form containing the variable is displayed for printing.
    • Fixed error in Numeric Calculation variables. If the formula for a Student numeric calculation variable contained a Student Agency Predefined variable or the formula for a Business numeric calculation variable contained a Business Agency Predefined variable, the calculation was incorrect. It was not using the Agency Predefined variable values. The calculation was using null values instead. This error has been corrected.
    • Fixed error in Numeric Calculation variables. If the formula for a Student numeric calculation variable contained only Student Agency Predefined variables or the formula for a Business numeric calculation variable contained only Business Agency Predefined variables, the calculation was never performed. This error has been corrected.
    • Modified the Numeric Calculation variables. Can now use Student Predefined date fields in numeric calculation formula.
    • Modified Student Form repeating field variables. Added new field: “Repeating Field Linked to Service Lines: Y/N”. This new field will appear on the entry page for a Repeating Field variable that has exactly 98 repetitions. If this new field is checked Yes, then you can mix it with Service line fields within a Block in an entry form (Student Form or Entry/Print Form).
    • Added new Service Line field: “Service Frequency Text”. Changed name of “Service Frequency” to be “Service Frequency Code”. The “Service Frequency Code” variable is a numeric internal value. The “Service Frequency Text” variable is the text description of the code. E.g., Code = “1”, Text = “Every Week”, Code = “2”, Text = “Every 2nd Week”. The “Service Frequency Text” values are those that are used to display the services chart on a Teacher Info Page.
    • Added 3 new boolean fields to the Student Header record: “Active 504 Student”, “Active ELL Student”, and “Active SIT Student”.

  • Find Parameter Sets
    • Fixed error in creating a Find Parameter Set. Numeric fields compared (equal or not equal) to the values of True or False was not being caught as an error. This bug has been fixed.
  • Bundles
    • Added some text to the Bundle upload and Bundle FTP retrieve pages: “Briefly, a WK or KS form will replace an existing form and all variables in a WK or KS form will replace any existing variables with the properties of the imported variables. The only option you have is to import or not to import the form.”
    • Fixed error in Bundle upload and Bundle FTP retrieve. Previously, if the ** TODAY ** variable was used in a form, there were upload options for it. This could cause a new variable ** TODAY **_0 to be created. This error has been fixed. The ** TODAY ** variable will now be treated just like one of the predefined variables – i.e., no upload or changes allowed.
  • FTP
    • Implemented the auto email on FTP send.
    • Added “Email” field to the FTP Passwords file/table. This will be the email address to use to send an automatic email when a file has been uploaded. The email address to use will be for the Agency LEA entry in the passwords table.
    • Added new table: FTP Email Log. This log can be displayed under the FTP section of the main menu.
    • Added a “Cancel” button to the bottom of the FTP Set Options for Data Exchange File page.

    • Modified the Create/Display Admin Messages command on the main menu. Created 5 separate Admin messages – one for each data type (IEP, 504, ELL, and SIT) and one for Business. The appropriate Admin Message will be displayed according to the data type as specified by the “Group” and “Select Students” popup menus.
    • Modified the main menu for Super Admin users. Replaced the old “Screen Order: ” and its popup menu with “Screen Order: Before (popup of entry lists), Crossover Date (enter a date), and After (popup of entry lists)”. This new Screen Order reflects the modification to Group permissions and lets Super Admin try it on the fly.
    • Modified the main menu for Super Admin users. Replaced the old “Primary Print Order: ” and its popup menu with “Primary Print Order: Before (popup of print lists) and After (popup of print lists)”. This new Primary Print Order reflects the modification to Group permissions and lets Super Admin try it on the fly.
    • Modified the main menu for Super Admin users. Replaced the old “Secondary Print Order: ” and its popup menu with “Secondary Print Order: Before (popup of print lists) and After (popup of print lists)”. This new Secondary Print Order reflects the modification to Group permissions and lets Super Admin try it on the fly.
  • Student Data Entry
    • Added Re-Eval Consent Rec’d Date to the Dates page.
    • Added Birthdate to the fields on the Create New Student page.
    • Modified the “Specify Access for New Student” that comes up when a new student is created. For an IEP student, added options for specifying the Primary Provider and the Primary Attendance Building.
    • Added field “Assign Child Count” to the create new student screen where providers and buildings are specified.
    • Modified the Goals page. With the change, Goals and Benchmarks for an Amendment IEP cannot be modified or deleted. However, new goals and benchmarks for those goals can be created and edited.
    • Modified the Goals page and the Popup Goals page. The “How will progress be measured?” question has been modified to be “How will progress be measured (Evaluation Procedure)?”. Also, if there are no records in the Eval Proc table, then the “Lookup Eval Proc” button will not display.
    • Modified the selection of Student forms for Enter Data into Forms function so that Grade Triggers are used.
    • Modified the selection of Entry/Print forms for Edit Students so that Grade Triggers are used.
    • Modified the Goals page and the Popup Goals page to use the new Preferences Option #5 for Progress Reports .
    • Modified the Demographics and Custom Demographics pages to use the new “Modify Student Name Fields”, “Modify Student Date of Birth”, “Modify Student Gender”, and “Modify Student Ethnicity Fields” group permissions.
    • Modified the Goals page and the Popup Goals page. If a goal is deleted, the remaining goals are automatically renumbered.
    • Modified the Goals page and the Popup Goals page. If a benchmark is deleted, the remaining benchmarks are automatically renumbered.
    • Modified the “Edit Student Message” button that appears on student entry pages. This button will allow the entry/edit of both the Student Message and the Detail Record Message. Changed the name of the button to reflect permissions. Button now could be named “Edit Student Message”, “Edit Student/IEP Message”, or “Edit IEP Message” depending on user permissions for changing messages. If editing 504, ELL, or SIT data, the button name will be changed accordingly.
    • Added 2 new student verifications (general): “DLM/Alternate selected for State Assessment Option but no Benchmarks for Goals” and “State Assessment Option not specified”.
    • Modified Verifications on Service Lines. Previously, the verification on Start Date before Initiation Date was a general verification. This check has been changed to be an MIS verification.
    • Added button to the Anticipated Services Chart: “Run Verifications on Next Year’s Service Lines”. This new button is only available to super admin users.
    • Modified the “Is Pri Residence” radio buttons on the Demographics, Custom Demographics, and Custom Student Startup pages. Only one parent can now be marked as Is Pri Residence. The others will be marked No.
    • Modified the Custom Demographics page for 504, ELL, and SIT. Now includes a line at the top of the form: “Student Status: Active Inactive (radio buttons).
    • Modified IEP student data entry pages for Super Admin users. Replaced the old “IEP Entry Order: ” and its popup menu with “IEP Entry Order: Before (popup of entry lists), Crossover Date (date not modifiable from here), and After (popup of entry lists)”. This new IEP Entry Order reflects the modification to Group permissions and lets Super Admin try it on the fly.
  • Select Students
    • Modified the Select Students page for 504, ELL, and SIT students. Can now specify the Status (active, inactive, active and inactive) when selecting students.
  • Filing
    • Modified the Options for File an IEP. Added option to select top-most IEP.
    • Modified Filing an IEP. If the Force Draft Header parameter is set in the Preferences (IEP Printing Preferences), then the Filed IEP will have the Draft header if the IEP is a Draft IEP. This is for all users except Super Admin users. Note that this change also applies to Emailing an IEP.
  • Image Files
    • Modified the Edit button on the Image Files list page. The Edit will now allow the specification of a detail record that the image is related to.
    • Modified the Upload Image File to include a popup list of dates/status for specifying the IEP record, or a list of dates for specifying the 504, ELL, or SIT record, that the image is related to.
  • Indicator 11
    • Modified the Indicator 11 export. Previously, GI students were being excluded from the Eligible students to export. This included GI students who also had a disability. This change will now allow inclusion of GI students with disabilities. Only the GI Only students will be excluded.
  • Miscellaneous
    • Fixed error in printing the Teacher Info Page and the Custom Teacher Info Page. Previously, when the Print This Address for a parent was set to NO, the report header still displayed the labels for address, phone, and email. This error has been fixed. Those labels will no longer be displayed for parents that have the Print This Address set to NO.
    • Modified the Popup of Parent Email Addresses on all screens where that Popup occurs. Previously, that popup would include the addresses for the IEP positioned to and sometimes it would include the addresses for the top-most IEP. Now the popup will always include the email addresses from the top-most IEP record.
    • Modified the Parent Email Popup on Email pages. The parent email addresses that will be included in this popup are now controlled by the “Consent to Send – Electronic” checkbox in the Parent Data section of Demographics. Also, if the second and third email addresses are listed for a parent, they are included along with the first email address.
    • Modified the Text File Send to use any Find Sets specified in the Preferences.
    • Modified the saving of Database Usage data. Previously, when the record for a new day was created, it used the last 1000 web interactions (from the previous day) for its reponse times. The change is to clear all previous interactions when a new day is started.
    • Modified the Logon dialog so a user can request a new password when they have forgotten their existing password. If the user logon fails the first time they enter their userid and password, the next time, the Logon dialog has a link for getting a new password emailed to them. For this to happen, 1) the userid must be unique, 2) their primary email must be present in the user record, and 3) the email generated must be sent with no errors. If any of these conditions are not met, then the user gets a generic Invalid Request return page.
    • Modified the default settings for the FTP Data Exchange and Download Data Exchange options pages. The options (check boxes) for “File unfiled IEP”, “File unfiled TIP”, and “File unfiled Progress Report” will now be set according to the Preferences options of AutoFile IEP, AutoFile TIP, and AutoFile Prog Rpt on Completing or Locking. If neither of those Preference options (File on Completing or File on Locking) are set for IEP, TIP, or Prog Prt, then the corresponding File unfiled option on the FTP Data Exchange and Download Data Exchange pages will have the option set on (checked) before sending FTP or downloading file.
    • Added a comments field to the Student Delete Log. Users can enter a comment when a record is deleted. The comment can be viewed from the Student Delete Log display.
    • Added procedure that runs at initial install of v8.3. This will set to true the “Active 504 Student”, “Active ELL Student”, and “Active SIT Student” fields in the student header for non-archived students that have 504 records, ELL records, and SIT records, respectively.
    • Modified the email recipients for New IEP and New Amendment IEP. Previously, the Providers were being selected from service lines on the New IEP. With this change, providers will be selected from service lines on the previous IEP that are in effect on the day the email is generated.
    • Created custom CSS for the Teacher Info Page so that user CSS should not interfere with the display of the TIP when it is displayed along with the IEP.
