8.4.9 r4
Version 8.4.9r4 – released 03/22/17

  • Modified Medicaid export function to not look at No IEP students.
  • Modified re-eval email list to only use building calendar, this was a change from before when code 2 students used neighborhood building calendar as the acc instead.
  • Modified the Print Print Form method so that the forms print without the student’s name and form name at the top.
  • Modified Medicaid Eligibly Import to match new file format.
  • Medicaid
    • Modified the Medicaid Billing so that records are not marked as “billed” until after the download file has been created and downloaded.
    • Added 8 new Medicaid Procedure Codes: 97161-97168. These new codes are valid only after 12/31/16.
    • Modified the Medicaid Error Checks on Service Log entry. Medicaid Procedure Codes 97001-97004 will be allowed only before 01/01/17. Procedure Codes 97161-97168 will be allowed only after 12/31/16.
  • Miscellaneous
    • Fixed error on Anticipated Services page. The Gaps Allowed checkbox was not being displayed on locked IEPs for Super Admin or for groups with “Can Modify Locked IEPs” permission when the Preferences page: IEP Page Locking had the Anticipated Services page checkbox set to Locked. This error has been fixed.
    • Fixed error in the use of CrossOver Dates when there was a history of more than one set of specifications. Would sometimes give a 4D error. This error has been fixed.
    • Fixed misspelling of “Information” on the “File an IEP Teacher Information Page” select students page and a few other places where the misspelling occurred.
    • Removed the “Printed By” line from the email of the Procedural Dates Report.

  • Psych Group Access
    • Fixed error in Psych selection of students.
  • Init Eval Due Dates
    • Fixed error in Init Eval Due dates. Was not calculating the Days until Due or the reason that the Due date could not be calculated for IEPs that had IEP Date, Initiation Date, and Status. It was only calculating those values for No IEP records. This error has been fixed.
    • Fixed error in html in the Dates page and the Custom Dates page. Previously, was not displaying the Init Eval Due Date for IEP records that were locked. This error has been fixed.
    • Added routine that runs at installation that recalculates the Init Eval Due dates in the top most IEP records.

Version 8.4.7 – released 11/23/16

  • Medicaid
    • Modified the Medicaid Procedure Code table. Reverted FY2017 records back to original FY2016 max fee values.
    • Added routine that runs at installation to update the max fee field in Medicaid service log records that have not yet been submitted for billing. This will put all fee calculations back to FY2016 figures.
    • Added routine that runs at installation of new version to fix misalignments in the Medicaid XIX and XXI fields of the Medicaid Annual records.
    • Fixed error in the Medicaid “Print IEP Services vs Service Log Entries Report”. Was not displaying the correct detail information for the service log entries. In addition to this bug fix, the Medicaid Serv Log Provider column was modified to indicate those service logs entered by a School Psych (PSY) and those entered by a COTA/PTA user (COTA/PTA).
    • Fixed error in Medicaid “Create New Annual Records” main menu command. If the option to create for School Psychs was selected, it did not always create all the annual records for all school psychs. This error has been fixed.
  • Init Eval Due
    • Modified the Init Eval Due report to include all students who have an Init Eval Consent Rec’d Date but no Init Eval Determination Date in their top-most record. Previously, this report only contained No IEP students. With this modification, it can also possibly include Active or Draft students. Made the same changes to the Init Eval Due emails.
    • Modified Initial Eval Due report to only look at non-archived students and non-archived IEPs. If top most record is an IEP, look at the ReEval completion date, if it is non-blank we don’t include the student.
    • Added Days Init Eval Took to the Student Startup page.
    • Fixed error in the “Days Init Eval Took” display on the Dates page. Previously, the Days calculation was only accurate if the Init Eval Consent Rec’d and the Init Eval Determination dates were in the same FY. If they were in two different FYs, the calculation only counted days in the older FY. This error has been fixed.
  • Reports
    • Modified the way reports (Forms, Quick Lists, Print Lists, Print Lists type 2) are generated. Previously, in WebKIDSS version 8.4.6, the recalc of calculation variables was added to ensure that the most recent values for calc variables was available to be printed. This recalc of all calculation variables caused even the most simple of forms or lists to take a long time to generate if the agency had a large number of complex calc variables. This error has been corrected so that the recalculation of calc variables only occurs when calc variables are present as fields in the form or list and only those calc variables are recalculated.
  • Miscellaneous
    • Removed verification check “IEP Meeting Date more recent than collection date” from the student verifications.
    • Removed the Password column from the Delete Multiple users web page. Changed SSN column to be Educator ID.
  • Bug Fixes
    • Fixed error in Main Menu function: “Move Data Between Fields/Variables in IEP Records”. Was not copying the data from one field to another under certain circumstances. This error has been fixed.

  • Bug Fixes
    • Fixed error in the Init Evals Due report. Was not displaying the correct list of Psychs. This error has been fixed.
    • Fixed error in the copy goals/benchmarks when a new IEP or Amendment IEP was created. If there were discontinue goals and new goals had been added with the same goal numbers as the discontinued goals, then the benchmarks for those goals were not copied forward. This error has been fixed.
    • Fixed error in the Re-Evals Due report that displays at logon. For Psych users, this report was sometimes including students that did not belong to the user. This error has been fixed.
    • Fixed error in the PIT in a Find Parameter Set. If the dialog for the PIT date(s) was used, the find did not find the correct set of records. If the PIT date(s) were included in the find without the PIT dialog, the correct set of records was found. This error has been fixed.
    • Fixed error in the Variable lists for List Print Form and List Print Form Type #2. The variable lists for headers and footers were not including Global variables. This error has been fixed.
    • Fixed error in User assign access. When assigning access to detail records for Aux Users and for Reg Ed Users, when a detail record was assigned, all the detail records for that student were assigned instead of just a single record. This error has been fixed.
    • Fixed error in create of the ** TODAY ** global variable and the ** Checkbox Graphic ** global variable. Previously, if these variables were created prior to the Preferences allowing of Medicaid, then they did not have Medicaid permissions (would not show up in the Medicaid list of available form variables). This error has been fixed. Now, when Medicaid is added in the Preferences, these two variables will get medicaid permissions.
    • Fixed error in List Forms and List Forms Type 2. Was not checking the sort order for a maximum of three sort fields. This error has been fixed.
    • Fixed error in Print Form (student, medicaid), Print Quick List (student, business), Print List Form (student, business, medicaid), Print One-Click Form (student, business), Display Logon (No-Click) Reports (student, business). Was not calculating calculation variables before these were printed.
  • Medicaid
    • In the “View Service Log Records” under the Medicaid portion when a provider has selected “7 – Para Delivered” as the Status Code it shows as blank when viewing it administratively. This error has been fixed.
    • Removed “(In Home)” from the Medicaid Procedure Codes S9123 and S9124.
    • Modified the Medicaid Procedure Code table. Added FY field. Marked all existing records as FY2016. Added new FY2017 records with new max fee values.
    • Modified the lookup of Medicaid max fee for service log records. Will now select the Procedure Code record base on the procedure code and FY of the Service delivery date.
    • Added routine that runs at installation to update the max fee field in Medicaid service log records that have not yet been submitted for billing.
  • Calculation Variables
    • Modified the way calc variables are calculated when entering in a form. Previously, only calc variables that used variables in the form that had changed value were being recalculated. This sometimes led to having to do multiple saves on the form to get all calc variables recalculated. This recalculation of calc variables when the Save button is clicked has been changed so that all calc variables are recalculated at that time.
  • Miscellaneous
    • Reformatted the User detail page. Removed all the access lists from the botton of the page and replaced then with buttons. Now, individual access lists can be accessed through the buttons. This will result in much faster loading/saving of the User detail page.
    • Added new main menu function: Download (export) Student File for SPEDPro for Previous School Year.
    • Increased the size of the “Exported From” field in the SPEDPro Download Log. Previously, the values in that field were being cut off at 12 characters.
    • Modified processing of the error message “Initiation Date not in the IEP year” to still appear but allow super admin users to move off the page even when this discrepancy in data exists. I.e., super admin users will still see this message but it will not restrict their activity to move to a different student, entry page, exit the student, etc.

Version 8.4.5 released 10/06/16

  • FTP
    • Increased max size of FTP upload from 10MB to 30MB.
  • Preferences: Goal Setup
    • Added routine that runs at installation to set the State Standards/CCRS/Common Core buttons on the Goals page according to the way the previous display State Standards/Common Core buttons were set. However, previously, the user could specify the display of both the State Standards button and the Common Core button. The new versions 8.4.4 and 8.4.5 allow the display of only a single button. If both State Standards and Common Core buttons were specified in previous versions, then the new button setting will be Common Core. If the user had already been into the Preferences and set which button to display, this installation routine will not change those settings.
  • Initiation Date
    • Modified the way changes to Initiation Date work. If the Initiation Date is changed, then service line Start Dates equal to the previous Initiation Date will be changed to the new Initiation Date.
  • Combine Students
    • Fixed error in the Combine Students function. The function was always trying to copy Text File to External Database records even when that feature was not turned on in the Preferences. This error has been fixed.
8.4.4
Version 8.4.4 released 09/26/16

  • Dual Crossover Lists
    • Modified the saving of Primary and Secondary Print Orders in the Crossover specifications. Previously, if no Primary Print Order was specified, the Secondary Print Order was moved up to the Primary position and the Secondary was blanked out. With this modification, there is no shuffling of print orders. The Primary order can be left blank with only a Secondary order specified. That secondary order will be printed with the IEP#2 button and there will not be an IEP(#1) button.
    • Fixed error in the Edit IEP Crossover History. Previously, if a history record was modified, those changes were not written back into the Group record. This error has been fixed.
    • Fixed error in the Super Admin popup menus for specifying entry orders. When editing students, these popups were not functioning properly. They would select the correct entry order but the name of the order in the popup would not change. Also, this new order specified when editing students would not populate back to the main menu orders. These errors have been fixed.
  • Medicaid
    • Added new Medicaid permission for Admin and DataClerk groups: Can Print IEP Services vs Service Log Entries report.
    • Added new Medicaid permission for Admin and DataClerk groups: Can create/edit Medicaid Find Parameter Sets.
    • Modified the Medicaid Unbillable report. When a Medicaid Service Log record was marked as Unbillable, there was no entry into the Change Log. This error has been fixed. Now, an entry indicating the Service Log record was marked Unbillable will be made.
    • Added Medicaid Print Form function.
    • Added sort fields to the Medicaid Form.
    • Added “Do Not Print Header” option to the Medicaid Form. If this option is selected, the student’s name and the form name will not be displayed at the top of the form.
    • Modified Medicaid COTA/PTA access to students from Active to Active or Draft.
    • Modified Medicaid Group entry of service logs. Changed the popup menu of service codes by combining SL and SS into a single item: SL/SS.
    • Implemented Medicaid Find Parameter Sets.
    • Fixed error in Medicaid access for COTA/PTA and Providers. Was allowing COTA/PTA access to records entered by provider and was allowing Provider access to records entered by COTA/PTA. This error has been fixed.
    • Fixed error in Medicaid Provider Initial of COTA/PTA service log entries. Was not creating a record in the change log about the initialing. This error has been fixed.
    • Fixed error in Medicaid COTA/PTA save of service log entries. Was saving the Initials field with blank. This error has been fixed.
    • Fixed error in Medicaid Provider Save of service log entries. Was saving the Initials field with blank. This error has been fixed.
  • Preferences
    • Modified the Preferences page: Copy New (non-Amendment) IEP Parmaeters. Changed the “Copy Which Main Screens and Miscellaneous Parts” section so that if Goals is not checked, then Progress Report Comments will also not be checked. This means that Progress Report Comments can only be copied if the Goals are also copied.
    • Added routine that runs at installation to modify Preferences. If the copy Goals permission on the “Copy New (non-Amendment) IEP Parameters” page is unchecked, then set the copy Progress Report Comments permission to unchecked.
  • Init Eval Due List
    • Modified the Initial Eval Due list. Added requirement to display of School Psychs. Previously, all school psychs with access to the student were displayed. New requirement is to only display school psychs who are also marked as ‘Is a School Psych’ in the user record.
  • SPEDPro
    • Added new main menu SPEDPro download of students. This download is for students who exited in the previous school year.
  • Filed Documents
    • Modified the viewing of filed documents. Now, all filed documents can be viewed.
  • New Data Checks
    • Added checks to the Anticipated Services page. Will now display a message if the Primary Provider or Primary Attendanct Building is not indicated for the current school year or the next school year.
    • Added check to the Anticipated Services page. Will now display a message if no services for the next school year and the user needs to duplicate for next year. “Next year” is considered the year following the FY of the IEP date.
    • Modified the check on Start and End dates on the Anticipated Services page. Was giving a message of Start (or End) date not in IEP year for services in the previous IEP. This has been fixed. This message will only be given on service lines with the School Year the same as the FY set in the Preferences.
    • Added check to the Goals page. Will now display a message if Progress Reports are linked to Benchmarks and no Benchmarks have been entered. This message will apply to each goal as it is displayed.
  • Miscellaneous
    • Added Delete Multiple button to the Anticipated Services page for Super Admin use.
    • Modified the wording on Group detail pages. Removed the wording: “View permission also applies to the viewing of the form after it has been filed.”
    • Modified the wording on Preferences: Customize WebKIDSS – part 2 page. Changed the wording on the Allow Display … items in the Special Features section of this page. New wording makes explicit that these permissions control the display of the No-Click, Init Evals, Draft IEPs, Re-Evals, and Missing Calendars reports at Logon.
  • Bug Fixes
    • Fixed error in New goal button on Goals page. The log record written to the Change Log did not have the proper goal number of the new goal created. This error has been fixed.
    • Fixed error in List Forms and List Forms Type 2. Was not checking the sort order for only variables used in the form. This error has been fixed.
    • Fixed error on Forms list page. The setting of Use, Not Use, or All forms popup menu was not setting the proper sort of the list of forms when the popup value was changed.

Version 8.4.3 limited release 08/29/16

  • Dual Crossover Lists
    • Changed the way Crossover specifications are stored. Previously, they were stored in a BLOB in the Group record. Now, with this change, they are stored in individual records in a new table: Group_Crossover_History.
    • Added checks on the Crossover Dates on entry to make sure they are valid dates – in the range 1970-2099.
  • Medicaid
    • Fixed error in Medicaid service codes. List of valid service codes did not include “CS”. This error has been fixed.
    • Fixed error in Medicaid service codes. One list of valid service codes did not include “AU”. This error has been fixed.
    • Modified the Medicaid “Print Unbillable Services” report. Changed the message “Invalid Dr Dates” to be “Delivery Date not within range of Dr Dates”.
  • Preferences
    • Removed the “Collection Period” field from the Agency Preferences page.
    • Removed the Collection Period from consideration when doing student IEP verification checks.
    • Removed the Collection Period for the heading of the list of student verifications (MIS Verifications or General Verifications buttons, and from the list produced by the Check IEP Students for Verification main menu item).
    • Modified the Preferences page: Goals Page Entry Options. Added options for Display of CCRS button on Goals page and to use CCRS label on Goals page, IEPs, and Progress Reports.
    • Modified the Goals page, IEPs, and Progress Reports to use the new Preferences option “CCRS” (Career and College Readiness Standards”).
  • Groups
    • Modified Group Permissions. Added new permission for School Psych groups: Don’t send emails to this group. Applies to emails for New Student Create, Initial Eval Due, IEP Due, ReEval Due, and Procedural Dates report.
    • Modified email generation for New Student Create, Initial Eval Due, IEP Due, ReEval Due, and Procedural Dates report to exclude School Psychs that belong to a School Psych group that has the permission ‘Don’t send emails to this group’ set. If the user belongs to multiple School Psych groups, then all those groups must be set to Don’t Send for that user to not get emails. If any of the user’s School Psych groups has the Don’t Send set to false (unchecked), then they will receive emails.
    • Fixed error in Create New Group. If the new group being created is a School Psych group and Medicaid is allowed, the Procedure Codes list for a School Psych was not being generated. This error has been fixed.
  • Date Checking
    • Added checking on Initiation Date for the Dates page and the Student Startup page. Initiation Date must be within the IEP year.
    • Added checking of Service line begin and end dates to be within IEP year.
    • Added general verifications for Initiation Date not within IEP year, Service Begin and End Dates not within IEP year.
  • Miscellaneous
    • Added new Maintenance Function: 9. Reset the ‘Is Active Status’ variable in all student IEP detail records for all students.
  • Bug Fixes
    • Fixed error in ReEval Due list. Was selecting some student records improperly. This was caused by an incorrect sort on the records before selection started. This error has been fixed.
    • Fixed error in Global Replace function. If the field being replaced was the Ed Status or the Exit Date, the Is Active Status field was not being updated.
    • Fixed error in display of IEP and IEP#2 buttons. These buttons were not displaying on student entry pages that were IEP entry/Print forms or were Preferences predefined text entry pages. This error has been fixed.
    • Fixed “404-page not found” error in the Print Business One-Click Reports. Was giving this error when the associated Find Set found no records to display.

  • Dual Crossover Lists
    • Modified the Super Admin Crossover Dates, Screen Orders, and Print Orders to use two sets of dates, screen orders, and print orders. When two crossover sets are specified, the later of the two (most recent Crossover Date) will be displayed on the Super Admin main menu and when doing student data entry.
    • Modified the Print IEP, File IEP, Download Data Exc, and FTP Data Exc pages to properly reflect the IEP Crossover Dates / Print Orders that will be used when printing or filing.
    • Modified the File Documents and Email Documents buttons on Demographics page to display the proper Primary and Secondary Print Orders.
    • Modified the Print IEP function on all main menus to display the proper Primary and Secondary Print Orders.
    • Modified the IEP and IEP#2 buttons to use the proper Primary and Secondary Print Orders.
  • IEP Meeting View
    • Added new main menu function: IEP Meeting View. This function will find a single student based on their first and last name (exact match) or their KIDS ID.
  • Initial Eval Due
    • Fixed error in Initial Eval Due list. The list of psychs on this report included inactive Psychs. This has been fixed.
    • Fixed error in calculation of Init Eval Due. Was not calculating the due date properly for C to B students.
  • Variables
    • Added a new option to the Numeric Calculation variables. They can now be formatted for display 3 different ways: 1 – as a number, 2 – as a time of day (e.g. 02:30 AM), or as hours and minutes (e.g. 2 hrs and 30 mins). The default is to display as a number.
  • Miscellaneous
    • Modified the Forms List page. Set the default on the Show popup menu to be Show Use Forms. Previously, this popup defaulted to Show All Forms.
    • Modified the Display Image Files and Display Filed Documents to report Grade and Disabilities from the top-most record rather than from the most recent record.
  • Bug Fixes
    • Fixed error in main menu function Assign Forms Permissions. Was only showing the group popup. Nothing happened when a group was selected. This error has been fixed.
    • Fixed error in the General Verifications (checking student data). Previously, a verification was generated for Missing Optional Admin Text for a goal or objective even when the Preferences indicated that the Optional Admin Text field was not used. This error has been fixed.
    • Fixed error in the Email when Forms Filed. Was using the email address for Email when IEP Unlocked instead of the email address for Email when Forms Filed. This error has been fixed.

  • Medicaid
    • Added new Medicaid Service Log field: Verified Unbillable. Added to list of Medicaid fields that can be used in forms.
    • Added previously created Medicaid Service Log field “Created by COTA/PTA” to the list of Medicaid fields that can be used in forms.
    • Modified the Medicaid report “Print Unbillable Services” to include radio buttons for marking unbillable records as Verified Unbillable.
    • Modified Medicaid Annual record entry page. Made the Legal First Name, Mid Init, Last Name, and Generation Code fields enterable/editable.
    • Modified Medicaid Eligibility Check export to use the student name fields in the Medicaid Annual record rather than the fields in the Student Header record.
    • Modified Medicaid Billing export to use the student name fields in the Medicaid Annual record rather than the fields in the Student Header record.
    • Added new Medicaid report: Print IEP Services vs Service Log Entries Report.
    • Added new Provider main menu item: Log Medicaid Group Data. This menu item will allow the entry of Medicaid Log data for a group of selected students.
    • Added new No-Click logon report for providers. If the provider has COTA/PTA entered Medicaid Service Log records that need to be initialled, student names and delivery dates for those Medicaid Service Log records will be displayed.
    • Fixed error in display of Medicaid Progress value on the single entry of Service Log records. Error was in the list of Service Logs at the bottom of the page. The Progress value still had “3 – No Improvement”. This has been changed to the new value: “3 – Maintained Performance” to agree with the popup list of Progress values.
  • FTP Email
    • Fixed FTP send command to work with email servers. Added FTP Setup Preference so agencies can specify where the from email address.
  • Miscellaneous
    • Modified the Operator popup menu on Finds to default to “contains”. Previously, the default was “is equal to”.
    • Modified the Display Image Files list to default the sort order to descending by Upload Date.
    • Added new predefined variable in the Student detail record: Record Create Time. This is a string variable length 10 with values like “12:00 PM”.
  • Bug Fixes
    • Fixed error in the No-Click Logon report of Missing Calendars. Previously, was including missing calendars for buildings that were marked as Neighborhood Only. This error has been fixed. The list of Missing Calendars will now not include calendars for buildings marked as Neighborhood Only.
    • Fixed error in Preferences save. Was not sorting serviceline linked variables to match the sorted servicelines when the FY was changed.
    • Fixed error in Create Group. Was giving the error message about entering a crossover date on the Create page. Would not allow user to save the new group and proceed with specifying the group permissions. This error has been fixed.
    • Fixed error in Init Eval Due report. Was not reporting all the school psychs. Was only including those who were specifically assigned to a student using the Change Access Lists button on Demographics page. Now, with this fix, all school psychs will also be included based on their access to students as specified in their group record.
    • Fixed error in two tables: ReportsNC and TF_Export_List. Each of these two tables had an incorrect Primary Key specified. This would sometimes cause a 4D error when those tables were updated. This error has been fixed.

Version 8.4.2 released 07/21/16

  • 4Dv15
    • Starting with v8.4.2, WebKIDSS will be available only in 4Dv15 format.
  • Logon Security
    • Modified user logon to require passwords of at least 8 characters. Previously, passwords were only required to be at least 6 characters. 6 character passwords will still work the first time the user logs onto this new version. They must then enter a new password of at least 8 characters. New password must contain at least one digit (0-9) and at least one special character (# ! $ % & * _ -).
    • Added Security quiz with verification that a user must pass with 100% accuracy before they are allowed to continue on into WebKIDSS. 10 True False Questions with a link to a video for people to watch.
    • Modified Preferences page “Agency Preferences”. Added Web User Password Expires field. This field can be set to 30-180 days.
    • Added function that checks how “old” a user’s password is, according to the new preferences time limit field (30-180 days). If the password has not been changed before the time limit, the user is required to change their password before they can logon.
  • Medicaid
    • Fixed error in Medicaid Eligibility import. Was not processing the imported data properly if the student had more than a single annual record. This error has been fixed.
    • Fixed error in Medicaid Service Log entry. If a user belonged to a Provider group, a Psych group, and a COTA group, then the create a new Service Log record would not display the Service code found in the service lines for the indicated IEP. This error has been fixed.
    • Added new Medicaid function for Providers: Verify (Initial) COTA/PTA Record Entry.
    • Added new Medicaid function for Super Admin users: “Move Medicaid Service Log Records”.
    • Modified the Medicaid “Create New Annual Record” button on the Medicaid Data Annual Record page. This function will now copy the Dr name, Dr Script and date range. Previously, it was not copying these fields.
    • Modified the Medicaid Transportation Log entry to display a message if there are no students for the Trans Log entry. Previously, it was displaying the entry screen with no students in the Select Student popup menu.
    • Modified the COTA/PTA select students to not include any student marked as Demo, Archived, or Deleted.
    • Added five sets of Dr script From and To Dates.
    • Modified the Medicaid Unbillable Services report. Added new reason for unbillable: COTA/PTA entry not initialed.
    • Modified the Medicaid Unbillable Services report. Will now only look at Service Log records that have a status code of 1 or 2.
    • Modified Medicaid Service Log entry. Added “7 – Para Delivered” to the popup list of Status Codes.
    • Modified the Medicaid function: Create New Annual Records. Added radio buttons so that new annual records can be created either for Eligible Services or for School Psych users. Previously, new annual records were created for both Eligible Services and Psychs.
    • Modified the error checks on Service Logs. Now, Start Time before 6am or End Time after 5pm will produce errors.
  • Crossover Entry and Print Specifications
    • Modified the “Assign Dual IEP Entry and Print Lists with Crossover Date” function to allow two sets of Crossover specifications.
    • Modified Groups to have two sets of Crossover specifications and to keep a history of the Crossover specifications. An unlimited number of different Crossover specifications can be saved in the Crossover history.
    • Added Group function “Edit IEP Crossover History” to the Super Admin main menu.
    • Modified the selection of which entry order to use for IEP data entry to check the dual Crossover specifications and the Crossover specification history.
    • Modified the selection of which print order to use for printing an IEP to check the dual Crossover specifications and the Crossover specification history.
    • Modified the “Assign Dual IEP Entry and Print Lists with Crossover Date” page. Changed the Done button so that it will do a save of the parameters specified on the page before quitting. Also, added a Cancel button.
  • Mass Filing of Forms
    • Fixed error in the Mass Filing of IEP Forms. Error occurred when the Clear Form After Filing option was set.
    • Fixed error in the mass filing of IEPs by a Super Admin user. Previously, was not finding the IEP Print Order to use. This error has been fixed.
  • Re-Evals Due
    • Modified the calculation of Re-Evals Due. Modified the calculation of days until due to always display the reason why the days could not be calculated. Previously, was sometimes not giving the reason – just displayed “Could not calculate days until due -” with no reason. Now will always display the reason (missing ACC, incomplete calendar, or missing calendar).
    • Modified the calculation of Re-Evals Due. If the calculated due date is more than 150 days in the future, the due date will be reset to blank. Previously, all dates in the distant future were showing up on the Re-Evals Due report, usually with the message about a missing calendar.
  • Initial Evals Due
    • Fixed error in calculation of Initial Eval Due Date. Previously, was not taking the “Coming from C to B” field into consideration when calculating the Due Date for students turning 3 yrs old. Was always using the student’s 3rd birthday as the Due Date. Now, if a student is turning three and they are marked as Coming from C to B, the due date will be their 3rd birthday. If they are not Coming from C to B, the normal 60 day calculation will be performed.
  • Groups
    • Modified the “Manage Group Membership” function. Changed the Group Popup menu so that it saves the membership list for the current selected group before switching groups. Changed the Done button so that it saves before quitting the function.
    • Modified the “Assign Group Logon Notification Messages” page. Changed the Done button so that is will do a save of the parameters specified on the page before quitting. Also, added a Cancel button.
  • Student Error Checks
    • Added new General error check: “Missing Admin Optional Text”. If the Admin Optional Text is allowed (Preferences: Progress Report / IEP Print Options page) then this new error check will be included on the Preferences: Student Error Checking Preferences – IEP page.
    • Changed the student error check “Invalid/Missing Name” from an MIS error check to General error check.
  • Miscellaneous
    • Fixed error in the Add New IEP button on the Demographics page. If the Preferences do not allow Amendment IEPs, then the page from the Add New IEP button was being displayed. It did not contain the Duplicate IEP function. This error has been fixed. Note that when Amendment IEPs are allowed, the button on Demographics page is Add New/Amendment IEP. This button displayed a page that did have the Duplicate IEP function.
    • Fixed error in No-Click Display Re-Evals Due report. If no students are found with re-evals due, then the message “No Re-Evals Due.” will appear. Previously, just the heading for the report was being displayed without that message.
    • Fixed error in No-Click Display Initial Evals Due report. If no students are found with initial evals due, then the message “No Initial Evals Due.” will appear. Previously, just the heading for the report was being displayed without that message.
    • Fixed error in No-Click Display Draft IEPs that should have been Completed report. If no students are found , then the message “No Draft IEPs awaiting Competion.” will appear. Previously, just the heading for the report was being displayed without that message.
    • Removed the line “Gaps Allowed Checkbox” from the Anticipated Services section of the Preferences: IEP Page Locking page.
    • Modified the Promote Status page. Removed the wording about running the Indicator 11 export before promoting statuses.

    • Modified the Gap Report to indicate students with gaps and whether or not they have the Gap Allowed checkbox checked.

    • Modified the error checking for the Medicaid Bill submission. Will now check to see that the student’s zip code is 5 characters long. If it is longer, it will be truncated to the first 5 characters.
  • Miscellaneous
    • Updated the ReCalc Weeks and FTE procedure to recalc for school years 2014-15, 2015-16, and 2016-17.
  • Bug Fixes
    • Fixed error in Duplicate All for Next Year button on the Anticipated Services page. Previously, it was using the IEP date plus one year minus a day as the end date for duplicated service lines. However, this could be a problem if next year’s calendar was shorter than the current year’s calendar. The new end date could be after the end of school. This error has been fixed. Now, the Duplicate All for Next Year will use the earlier of the IEP date plus one year minus a day and the end of next year’s calendar.
    • Fixed error in Create new Student Startup page form. Was previously not filling in the labels for Consent to Send, Coming from C to B, or No IEP Being Tested for Gifted when a new Student Startup page was created. This error has been fixed.
    • Fixed error in the Save and Finished buttons on the Popup Anticipated Service display. Was previously blanking out all data on that page. This error has been fixed.
    • Fixed error in the display of No-Click reports at logon. Was displaying all reports. It was ignoring the Use flag. This error has been fixed. Now only those No-Click reports marked as Use will be displayed.

  • Groups
    • Added new Group permission: Can Edit Medicaid Transportation Log Records. It can be given to Admin or Data Clerk users by checking the permission on the Group Permissions page for the group. Initially, Super Admin group will have this permission; Admin and Data Clerk groups will not have this permission. No other groups are allowed to have this permission.
    • Added new user Group: COTA/PTA. This group is for entering Medicaid Service Log records for a Provider.

    • Modified the Permissions page: IEP Page Locking. Added “Gaps Allowed checkbox” to the options for the Anticipated Services page. This new option is not checkable (no check box). It is always available for locked IEPs for those groups that have permission to set the Gaps Allowed checkbox on the Antic Services page when the Anticipated Services page is not specified as locked in the Preferences.
    • Fixed error in Gap Report. Previously, was using imported IEPs (marked with “i”) when looking for gaps. This error has been fixed.
  • Medicaid
    • Added new Medicaid function: Entry of Service Log records for COTA/PTA users.
    • Modified the Medicaid Service Log popup for Progress Code. Changed 3-No Improvement to 3-Maintained Performance.
    • Modified the Medicaid Transportation Log entry screen. Added alternating colors to the rows.
    • Modified the Medicaid Billing Submission functions to not include Medicaid Service Log records created by COTA/PTAs unless they have been initialed.
    • Modified the Medicaid Billing Submission functions to not include Medicaid Service Log records for Draft IEPs.
    • Added new Medicaid function: Edit Transportation Logs.
    • Modified Medicaid Service Log error checking. Removed check on Provider Initials. Removed checking on all fields except Delivery Date if the Status Code is not 1-Delivered or 2-Pending.
    • Fixed error on Medicaid Service Log entry page. Previously, when first entering this page, it would display the most recent Service Log record regardless of which FY and IEP were specified. With this fix, when first entering this page, it pulls up the most recent Service Log record for the specified FY and the highlighted IEP record.
    • Modified Medicaid Service Log entry page to include a new button: Duplicate This Service Log Record. Clicking this button will duplicate the most recent Service Log record but blank out the Delivery Date and Comments fields.
    • Added check in the Medicaid Eligibility download to make sure that the student header record exists for all the annual records involved in the export.
  • Goals
    • Modified the Goals, Alternate Goals, and Goals Popup pages to indicate discontinued goals with “(Dis)” placed immediately under the Goal number.
    • Modified the Goals, Alternate Goals, and Goals Popup pages. Previously, for Amendment IEPs, the Discontinued Goal and Discontinued Goal Comments fields were not generating an entry in the Student Data Change Log. This error has been fixed.
    • Modified the Goals, Alternate Goals, and Goals Popup pages to indicate discontinued goals when the IEP is locked. Previously, only the Goals and Alt Goals pages would allow the indication or display of discontinued goals but only for unlocked IEPs. Modified so that the Goals Popup page works the same as the Goals and Alt Goals pages. All goals pages will now indicate the discontinued status for a goal for both locked and unlocked IEPs. These changes only apply to Amendment IEPs.
    • Fixed error in create new IEP record. Was copying the discontinued goals. This has been fixed. Now, when a new IEP is created using the Add New IEP or Add New Amendment IEP functions, discontinued goals will not be copied. Discontinued goals will be copied when the Duplicate IEP function is selected.
  • Miscellaneous
    • Updated the Upload/Download/FTP of Data Exchange Format data to include new fields added to Student IEP record and Goal record.
  • Bug Fixes
    • Fixed error in Antic Serv page, Custom Antic Serv form, and Popup Serv page. Was allowing the B and P buttons to be displayed so that buildings and providers could be changed when all fields were locked for Anticipated Services (i.e., Preferences specified that the Antic Serv page be locked – no fields modifiable).
    • Fixed error in ReEval Auto Recalc. Was not unloading 4 records when finished: Student_head, Student_IEP, Calendar, and Building.
    • Fixed error on student message html page. Under certain conditions of group permissions and preferences, the page was not displaying and saving properly. This error has been fixed.
